Registration overview

Step 1: Select Your Rooms

On the first screen, you’ll choose how many rooms your group needs.

Select the number of 4-person rooms, 3-person rooms, and 2-person rooms your congregation will use.

Remember: each room must include at least one adult counselor, and there is a maximum of 4 people per room.

Step 2. Choose Your Ad (Optional)

Next, you’ll see the Ad Selection page.

If your congregation would like to purchase a conference booklet ad, select the ad size you wish to purchase.

If you do not wish to purchase an ad, simply skip this section and continue to the next step.

(If you purchase an ad, you’ll later upload it through the Upload Center on the website.)

Step 3: Enter Registrar & Attendee Information

On the third screen, you will enter the following information for your group.

  1. Registrar Information

    • Enter your name, email, phone number, and congregation information.

    • Remember, you are the contact person for your group.

  2. Room & Attendee Details

      • First: the adult counselor for that room

      • Then: the youth assigned to that room

        For each room you selected, enter the information in this order:

    • Continue this pattern for each room (counselor first, then youth) until all attendees are entered.

Be sure all names, ages, shirt sizes, and participation details are accurate before moving on.

Step 4: Review & Complete Payment

After you’ve reviewed your information proceed to the payment screen to submit payment for your group.

Once payment is completed, you will receive a confirmation email.

Step 5. Confirmation QR codes

After payment, you will receive a confirmation email containing QR codes for your registration. These QR codes are required for check-in at the conference registration desk, so please store the email safely, or print and ensure you have access to the codes when you arrive.

Responsibilities of the Registrar

  • Gather all information for counselors and youth attendees (names, ages, shirt sizes, Spelling Bee participants). 
  • Ensure that parents/guardians have signed the medical srelease form. 
  • Keep all completed release form on hand during the conference in case of a medical or safety-related need. 
  • Serve as the main contact person for your congregation throughout the registration and conference period.

Before beginning registration, please download the documents listed below. These resources will help you gather and organize the information you need for every counselor and youth in your group.

Included Documents: 

  • Medical Release/Hold Harmless Form

    Required for all attendees. Parents/guardians sign for minors; adults sign for themselves.

    Registrars are to turn in all signed forms upon arrival.

  • Rules & Conduct Form

    Provides an overview of conference expectations and guidelines.

    This form does not require a signature, but every attendee should be aware of its contents.

  • Registration Template

    A guide to the information you’ll be asked to enter during online registration.

    Use this template to collect names, ages, shirt sizes, room assignments, spelling bee participation, and free time selections before submitting your registration.

2. Choose Your Ad (Optional)

Purchase a conference booklet ad if desired, or skip this step.

3. Enter All Information

Start with Registrar info, then complete each room’s details—Counselor first, followed by the youth in that room.

4. Review & Pay

Confirm your selections, attendee information, and rooms before completing payment.

5. Keep Your Confirmation Email

Your confirmation email includes QR codes required for conference check-in.

Please save the email and ensure the QR codes are accessible when your group arrives.

Responsibilities of the Registrar

  • Collect all attendee information — names, ages, shirt sizes, room assignments, and activity selections.

  • Gather Spelling Bee & Free Time for your group.

  • Download required forms (Medical Release, Rules & Conduct, Registration Template).

  • Ensure all Medical Release Forms are signed by parents/guardians and turn in upon arrival to the conference.

  • Serve as the main point of contact between your congregation and TNSYC.
